Customer Service and Admin Assistant

Job description




Objective

We are looking for a robust and energetic Customer Service and Admin Assistant. You are friendly, service-oriented, well-organized, proactive and always ready to serve with a smile. You will implement administrative procedures, policies, and systems to ensure our company’s high performance. You love solving problems and are willing to go the extra mile to ensure customer satisfaction.

Requirements

  • Liaise closely with our customers (using communication channels i.e phone, email, WhatsApp, Social media etc).
  • Handle phone calls. Check voicemail, chat, and/or electronic cue frequently to identify customers who need service.
  • Proactively follow up leads and reach out to understand customers’ problems.
  • Handle customer complaints, provide appropriate solutions and alternatives; follow up to ensure resolution.
  • Escalate complex support issues to higher level manager.
  • Provide administrative support to the executive on a timely, effective, and professional manner.
  • Deliver weekly or monthly reports on assigned projects.
  • Assist operational activities as needed. i.e events coordination
  • Maintain the workflow. Improve systems by analyzing current practices, documenting records, controlling forms.
  • Keep documents, processes, procedures up-to-date.


Successful Candidate should possess these qualities : 

  • Able to work in fast paced environment, and comfortable to work in shift when needed.
  • Flexible Availability - Including Nights, Weekends, and/or Holidays 
  • Minimum Diploma or equivalent
  • Required language(s): Bahasa Malaysia, Chinese, English
  • 1-2 years of clerical/administrative experience preferred 
  • A meticulous & positive energy team player 
  • Pleasant looking & "Ready to serve with a smile ” personality
  • Highly reliable, time sensitive and great attention to detail.
  • Excellent written and verbal communication skills
  • Knowledge of regulatory standards and compliance requirements is a plus.
  • Excellent prioritization and analytical skills.
  • Take responsibility for the image of the company.
  • Ability to maintain a friendly and professional demeanor when interacting with customers and colleagues.
  • Good knowledge of appropriate softwares, tools, and techniques to deliver excellent support.
  • Intermediate proficiency in Microsoft Office, Emails, Google Suites. 
  • Willing to work at location Desa Parkcity, Kuala Lumpur.
